Velocity Reviews ("we," "us," "our") provides review generation and online reputation management for local businesses.

This notice explains how we collect, use, and protect personal information across three groups: visitors to our website, the businesses we work with ("Clients"), and Clients' own customers who may receive communications through our service ("End Customers").

We're based in Edmonton, Alberta, and this policy is built around Canadian privacy law.

Summary

What we collect: contact and business information you give us, billing information (via a third-party payment processor), and — where a Client engages us — their customers' basic contact details for the purpose of sending communications on the Client's behalf.

Do we sell data? No.

Do we gate or fabricate reviews? No. We don't screen who receives a request based on predicted sentiment, and we don't generate, buy, or incentivize reviews.

Who do we share with? A limited set of service providers required to operate the platform, never sold or shared beyond that.

Your rights: access, correction, deletion, and consent withdrawal, primarily under Alberta's PIPA and Canada's PIPEDA.

Directly from you, when you reach out through our website, sign up as a Client, or contact us for support — typically your name, email, phone number, business name, and anything you share with us in the course of that interaction.

2. Customer Contact Information Provided by Clients

Where a Client engages our service, they may provide us contact details for their own customers so we can send communications on their behalf. Clients are responsible for ensuring they had the legal right to collect and share that information with us.

All communications we send are handled consistent with applicable Canadian law, including Canada's Anti-Spam Legislation (CASL) — this includes respecting consent requirements and honoring opt-out requests. We do not screen or filter who receives a request based on predicted sentiment; every eligible customer is treated the same way.

3. Payment Information

Billing is handled by a third-party, PCI-compliant payment processor (Stripe). We do not store full payment card details ourselves.

4. How We Use Information

To operate the service, including communicating with a Client's customers on their behalf, monitoring and responding to reviews, processing payment, supporting Clients, and meeting our own legal and accounting obligations.

We do not use End Customer information for any purpose beyond the specific service a Client has engaged us for, and we do not use it to build our own marketing lists.

5. Legal Basis for Processing

We process personal information where we have a valid basis to do so, which in Canada generally means consent, contractual necessity, legal compliance, or legitimate business interest, balanced against your rights. This section will be updated to reflect applicable bases as we serve Clients in other jurisdictions.

7. Who We Share Information With

We use a limited number of third-party service providers to operate the platform, including for payment processing, customer communication, and interaction with review platforms such as Google. These providers process information only as needed to perform their function for us, we don't sell information to them or anyone else, and we don't share it beyond what's needed to deliver the service.

8. Third-Party Platforms

Reviews live on platforms we don't control, such as Google. Those platforms can remove, modify, or hide reviews at their own discretion, and we can't guarantee a review's visibility or permanence once posted.

9. Cookies and Tracking

Our website doesn't currently use analytics or advertising tracking. If that changes, this section will be updated with specifics and, where required, a cookie consent notice.

10. AI-Assisted Features

We may use AI tools to assist with certain tasks, such as helping draft responses to existing reviews. A human reviews AI-assisted output before it's used publicly. AI is not used to generate or fabricate reviews.

12. How Long We Keep Information

We retain personal information only as long as necessary to provide the service, meet legal or accounting obligations, or resolve disputes, after which it is securely deleted or anonymized. You can request earlier deletion at any time, subject to any legal retention requirements.

13. How We Protect Information

We rely on reputable third-party providers that maintain their own strong security practices, and we limit access to personal information to what's needed to deliver the service. No system is completely secure, but we take this seriously and will notify affected parties as required by law if something goes wrong.

14. Children's Privacy

Our service is built for businesses, not individuals under 18, and we don't knowingly collect information from minors. If you believe we've collected a child's information, contact us and we'll remove it.

15. Your Privacy Rights

If you're in Canada, under Alberta's Personal Information Protection Act (PIPA) and, where applicable, the federal PIPEDA, you generally have the right to access, correct, or request deletion of personal information we hold about you, and to withdraw consent for future collection, use, or messaging. You may also complain directly to us, or to the Office of the Information and Privacy Commissioner of Alberta.

As we begin serving Clients in other jurisdictions, this section will be expanded to reflect applicable local rights.

To exercise any right above, contact us using the details in §17. We may need to verify your identity first.

16. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

17. Changes to This Notice

We may update this policy as our service or applicable law changes. We'll post the updated version here with a new "Last Updated" date, and material changes will be communicated to active Clients directly.
